Terms and Conditions

These Terms and Conditions govern access to and use of Linxis, a service operated by Meakes Ltd t/a Linxis, including AI assistants, knowledge services, automation, integrations, billing, onboarding tools, and related managed services made available through the platform.

Terms Privacy Cookies

Modules and service scope

Linxis offers QuickBooks connectors, eBay connectors and website AI chatbots. The modules and usage allowances available to you depend on your subscription and agreed configuration. Custom connectors, migration and implementation work require an agreed scope. Third-party subscriptions, permissions and production authorisation may be required.

Accounting and marketplace operations

You are responsible for selecting the correct company and environment, reviewing mappings and source data, and reconciling exported records. Sandbox exports are test records. Processing can be delayed, paused or rejected by source status, account capabilities, platform limits or unavailable services. Correct the cause before retrying and check for existing records. Linxis does not replace accounting advice or your business records.

Stock and listing controls

Stock synchronisation applies to eligible, mapped listings when enabled. Notification senders, scheduled workers and connected systems must be configured. Review listing takeovers, quantity rules and zero-stock or ended-listing behaviour before use. A submitted change or queued SKU is not confirmation that the marketplace has applied it.

AI assistants and customer information

You must have permission to publish knowledge and process visitor conversations. Review your chatbot content, rules and website privacy notice. AI output may be incomplete or incorrect; verify important answers and provide a suitable human contact route. Do not rely on an assistant as professional advice or an authoritative determination.

Account protection and support

Optional MFA adds an authenticator code or recovery code to sign-in. Keep your recovery codes private and accessible to you; losing both your authenticator and recovery codes may delay account recovery while ownership is checked. Report suspected compromise promptly. Use in-app support tickets or our published contact details for assistance. Do not include credentials in tickets or diagnostic reports.

Disconnection and data requests

Disconnecting a provider stops the authorised connection but does not reverse completed exports or delete records in the connected platform. Contact support to arrange data return or deletion at the end of service, subject to applicable law and the agreed processing terms. Review the Privacy Policy for retention information.

Rights preserved

Nothing in these terms excludes liability that cannot lawfully be excluded, including fraud or death or personal injury caused by negligence, or removes statutory rights that apply to you.

Using Linxis responsibly

These Terms set the operating rules for using Linxis as a hosted software service. They cover account use, plan limits, acceptable use, billing, and the boundaries of our responsibility when the platform interacts with websites, AI services, QuickBooks, marketplaces, and other third-party systems.

1. Acceptance of these Terms

By creating an account, starting a trial, or using Linxis, you agree to these Terms and Conditions. If you use the service on behalf of a company or organisation, you confirm that you have authority to bind that organisation to these Terms.

2. Service description

Linxis provides software for tenant-scoped AI assistants, approved knowledge, system connections, automated jobs, mappings, operational monitoring, approvals, retries and related managed workflows.

We may change, improve, or discontinue parts of the service from time to time as the product evolves.

3. Accounts and customer responsibilities

You are responsible for maintaining the confidentiality of account credentials, ensuring that your knowledge, integration and system details are accurate, and restricting access to your account by unauthorised users.

You are also responsible for the accuracy, legality, and completeness of the data you choose to sync through Linxis.

4. Trials, plans, and billing

Linxis may offer trial access, plan-based pricing, and usage limits such as connection capacity, trial runs, automation runs, AI conversations, knowledge storage, or module access. Trial and pricing information shown on the website forms part of the commercial offer available at the time of signup.

If you move onto a paid plan, you agree to pay the applicable subscription fees and any taxes due in connection with your use of the service. Paid subscriptions are billed on the cycle shown at signup, checkout, or within your billing settings.

Unless cancelled before the next renewal date, subscriptions may renew automatically for the next billing period. You can cancel future renewals at any time, but fees already paid are generally non-refundable except where required by law or where we agree otherwise in writing.

If a payment fails, we may retry collection, restrict access to paid features, pause syncing, or suspend the account until billing is brought up to date.

5. Acceptable use

You must not use Linxis to:

  • break the law or infringe another person’s rights
  • interfere with the security, availability, or integrity of the service
  • attempt unauthorised access to accounts, systems, or data
  • upload or transmit malicious code, harmful payloads, or abusive traffic
  • misuse the platform in a way that could harm Linxis or other customers

6. Third-party services

Linxis depends on third-party systems such as AI providers, commerce platforms, QuickBooks, marketplaces, payment providers, and infrastructure services. We are not responsible for outages, API changes, credential issues, or interruptions caused by those third parties.

7. Data handling

To provide the service, Linxis may process account information, sync job records, mapping data, usage data, logs, and integration data you submit or authorise. Our handling of personal data is described in the Privacy Policy.

8. Availability and support

We aim to keep Linxis available and reliable, but the service is provided on an “as available” basis. We do not guarantee uninterrupted uptime, error-free operation, or that every sync will succeed in every circumstance.

9. Intellectual property

Linxis and its software, interface, content, branding, and documentation remain the property of Linxis or its licensors. These Terms give you a limited, non-exclusive, non-transferable right to use the service for your internal business purposes.

10. Customer data and records

You retain responsibility for the underlying business records and source data that you connect to Linxis. We recommend that you keep your own copies of accounting records, store exports, and any data needed for reconciliation or audit purposes.

11. Suspension and termination

We may suspend or terminate access if you materially breach these Terms, fail to pay applicable fees, create security or legal risk, or use the platform in a way that harms the service or other users.

You may stop using the service at any time. Termination does not affect fees already due or rights that arose before termination.

12. Liability

To the fullest extent permitted by law, Linxis will not be liable for indirect, incidental, special, consequential, or loss-of-profit damages, or for losses caused by third-party platform issues, customer configuration errors, invalid source data, or service interruptions outside our reasonable control.

13. Governing law

Unless a different law is required by applicable law or agreed in writing, these Terms and any dispute or claim arising out of them are governed by the laws of England and Wales.

14. Changes to these Terms

We may update these Terms from time to time. When we do, we will publish the updated version on this page and revise the “last updated” date. Continued use of Linxis after an update means you accept the revised Terms.
